AYHA Board of Directors monthly meeting
Held at Amery Ice Arena, 6:30 pm
Members Present:
Mark Karnick, Kevin Smith, John Mork, Kathy Casselberry, Dan Severson, Brian Melberg, , Julie Measner, Jeff Bohn, Laurie Harris, Jeff Becker, Mike Hanson and Erik Hellie

Prior Board Meeting Minutes from February 28, 2011 were approved. Erik Hellie made a motion to accept and Dan Severson seconded the motion. Minutes were approved.
Board Officers Elections:
Dan Severson nominated Kevin Smith for President, Mark Karnick seconded the nomination, there were no other nomination, Kevin Smith was approved by all members.
Laurie Harris nominated Mark Karnick for Vice President, Jeff Becker seconded the nomination, there were no other nominations, Mark Karnick was approved by all members.
Erik Hellie nominated Kathy Casselberry for Secretary, Laurie Harris seconded the nomination, there were no other nominations, Kathy Casselberry was approved by all members.
Laurie Harris nominated Julie Measner for Treasurer, Dan Severson seconded the nomination, there were no other nominations, Julie Measner was approved by all members.

Rink manager update:
Ice was taken off in one day
Outstanding Fundraising Due:
$8,095 still owed by 37 families
Total rebates to be applied to next year's registration fees is $750 (20 families)
4 senior families still owe the full $250 required buyout, 1 family met their requirements
Erik will update the fundraising policy to require families who have a senior and it will be their last year with the association pay the $250 buyout at registration and they will get their money back when they sell their fundraising.

Bantam 10 (2 are freshman, but plan on staying at the Bantam level - 3 are 1998, 7 are 1997)
PeeWee 20 (11-2000 & 9-1999)
Squirt 24 (2 girls - 1st yr - will have to play on girls coop team when they are peewees) (13-2001 & 11 - 2002)
Mite 31 (1-'07, 4-'06, 10-'05 (3 girls), 6-'04 (1 girl), 10-'03

Lighting:
Mark Karnick obtained an estimate from Gary's electric for $10,200 less $2,400 rebate labor $1,600. John Mork will get an estimate from Rory and Kevin Smith will talk to VanBlaricom.
Practice Jerseys:
Julie Measner submitted to USA Hockey a request for their promotion (The DegreeŽ Free Youth Hockey Jersey Program) of giving to area hockey associations, free practice jerseys. We will be getting 3 sets of jerseys (white/red/black 9-10 yr olds).
Summer Work:
Mark Karnick will put together a summer to do list and send out soon to the members. At the next meeting the projects will be prioritized and project dates set up monthly and members to be notified to get their hours in.
Website:
Jill Armstrong has agreed to take over Jay's duties of keeping the website current. Kathy had concerns of being able to update the calendar immediately as the schedule changes and that she no longer had any of the programs needed to do so. Jay had lost the disk with all his software and files for her to download the programs again. We will try to copy the files from Jill's computer and download onto Kathy's. Mike Hanson and Mark Karnick would like to have the website reconfigured. Mike could not find the information regarding the USA Hockey free web service. Kathy will send him the info on it and he will see if that would be more user friendly or if we continue with the existing website.
Registration invoices:
Kathy passed around a sample invoice to send to the members in the next couple of weeks. The invoice shows past due registration fees owed, winter work hours still owed, 2010/11 fundraising owed and upcoming registration fees for 2011/12. This is to encourage members to begin making payments now for the upcoming season. Half of the amount is due at registration (if 1/2 of amount due is not paid by 1st practice - around mid October - the player(s) will not be allowed to play), Full amount MUST be paid by December 31st. (see attached sample)
Next Board Meeting Date set for Monday April 25th at 6:30 at the Amery Ice Arena.
